After-Hours Call Answering in NZ: 5 Options Compared

There are five realistic ways for a New Zealand small business to handle calls after 5pm, on weekends, and on public holidays: voicemail, diverting to your own mobile, a human answering service, an on-call roster, or an AI receptionist. Why after-hours calls are different

A call at 10am is often someone shopping around. A call at 7pm is often someone with a problem right now: a hot water cylinder that has let go, a booking they need to move before tomorrow, a question they could not ask during their own work day. Those callers rarely leave a voicemail and wait. If the phone rings out, they try the next listing.

After-hours coverage also has a cost you feel personally. Being the person who answers every call, every evening, is a fast route to burning out. The right option is the one that catches the call without you carrying the phone into the bath.

Option 1: Voicemail

How it works: the call rings out and the caller hears a recorded greeting. You listen to messages when you are back.

Good for: businesses where nothing is urgent and customers are happy to wait a day.

Limits: a lot of callers hang up rather than leave a message, and the ones who do leave a message often leave the wrong details. You still have to call everyone back, and by then some have booked elsewhere.

Cost: usually included with your phone plan.

Good for: sole operators who want every call and do not mind answering at dinner.

Limits: you are the coverage. Miss it and you are back to voicemail. It also means work calls on family time, which is the thing most owners are trying to stop.

Cost: free on most mobile plans, though some carriers charge for the diverted leg. Check your plan.

Option 3: A human answering service

How it works: an outsourced reception team answers in your business name, follows a script, takes a message, and sends it to you by email or text. Some can book into a shared calendar.

Good for: businesses that want a real person and have the call volume to justify a retainer.

Limits: the operator knows your script, not your business, so anything off-script becomes a message. Pricing is usually a monthly base plus a per-call or per-minute charge, so a busy month costs more. Coverage overnight and on public holidays may cost extra or not be offered at all.

How it works: if you have staff, the after-hours phone rotates. Each week a different person carries it.

Good for: trades and service businesses with several people who can genuinely act on an emergency.

Limits: it only spreads the load, it does not remove it. Every non-urgent call still interrupts someone's evening, and rosters need managing. It also does nothing for a business of one.

How to choose

  • Nothing you do is urgent and you get a handful of calls a week: a well-written voicemail greeting is fine. Return calls first thing.
  • You are a sole operator and want every call, personally: divert to your mobile. Set a "no answer" divert so voicemail still catches the ones you miss.
  • You want a person on the line and can carry a retainer: a human answering service, with clear scripts for what counts as urgent.
  • You have a team and genuine emergencies: a roster, but put something in front of it so the roster only gets the real ones.
